COMPENSATION:

WORKLOAD: 
Approx. 30 hours per week


LOCATION:
Anywhere in the United States

DIRECT REPORT: 
​Brad Voss, executive director

Vision
The Administrative Coordinator assists MITS to be a nationally known nonprofit organization serving at-risk teens in Kenya and around the world by providing administrative support, communication to donors, and fundraising assistance to help tell the remarkable story of MITS and encourage individuals, families, churches, and other organizations to volunteer in and financially support the work of Made In The Streets.
 
Mission
The Administrative Coordinator exists to provide administrative support to the Executive Director; manage ongoing, regular communication with donors; managing details related to fundraising events; and keeping up with deadlines and submissions of grant applications.
 
Action Items
This position is responsible for providing general administrative support as needed, including but not limited to the following key performance areas:
 
Qualifications:
  • Minimum two years related experience; nonprofit experience a plus.
  • Proficiency with spreadsheets, databases, and word processing. Familiarity with QuickBooks and online CRM a plus.
  • Ability to multi-task and prioritize in a dynamic work environment.
  • Strong attention to detail and ability to work as a team member with minimal supervision.
  • Solid written and oral communication skills and excellent phone manner.
  • Ability to develop effective work plans, organize details, set priorities, and meet deadlines.
  • Ability to operate and troubleshoot standard office equipment.

RESPONSIBILITIES, INCLUDING BUT NOT LIMITED TO:
Donor Relations Management
  • Maintain donor relationship management database, including updating donor records, compiling biographical information, data entry, and pulling reports/queries
  • Ensure that gifts are accurately recorded and donors are thanked
  • Coordinate donor mailings, emails, and social media communication
  • Track pledges and monthly sponsorship gifts to ensure on-time payment
  • Analyze donor giving patterns to increase donor retention and conversion rates
  • Assist with individual donor stewardship including acknowledgement letters, thank you cards, donor appreciation gifts, and other communications via phone and email
  • Assist with preparation of the annual report and other reports to donors as needed
  • Prepare donor background information and donor support materials prior to donor meetings 
 
Fundraising Event Management
  • Direct MITS strategy and lead staff and volunteers to create outstanding annual fundraising events designed to financially support the work of MITS
  • Create and coordinate event invitations
  • Manage online registrations and ticketing for events
  • Coordinate registrations and tabling at fundraising events
  • Assist with scheduling of event venues
  • Manage event vendors – including, but not limited to food
  • Manage coordination of event logistics – including setup, cleanup, and volunteers
  • Manage event follow up – including thank you acknowledgment of donors and volunteers
Grant Applications Management
  • Direct MITS social media strategy (Instagram/Facebook/etc.) and lead interns and volunteers who generate content (photos, video, write captions, make posts)
  • Works with Executive Director, Board of Directors, and other staff on all Grant opportunities related to corporate partners and private foundations. Involved in all areas of the grant process – writing, application, reporting, recording, tracking, and filing process.
  • Maintains calendar of deadlines related to all grant submissions
  • Maintains list of necessary requirements and resources needed to complete grant submissions on time
  • Thorough research and comprehensive review, provide new grant opportunities and funding sources through new corporate partners, private and/or family foundations.
  • Provide contact info and documentation for each relationship that may be needed for the annual report, reporting, annual audit, and marketing materials. 

Mission Trip and Mission Specialist Support
  • Perform basic bookkeeping tasks including bill paying, making deposits, invoicing, running financial reports, assisting with annual audit, as needed
  • Maintain organizational files and documents
  • Serve as point of contact and answer phones during business hours
  • Assist with travel arrangements for staff, interns, and volunteers, as needed
  • Perform general administrative support
  • Additional tasks as assigned by Executive Director
